Privacy Policy

1. Introduction

This Privacy Policy explains how the UK Statutory Residence Test (SRT) Calculator (the "Tool") handles your data. We are committed to protecting your privacy and complying with UK and EU data protection laws, including the UK GDPR and Data Protection Act 2018.

This Tool is operated by Brad Ellison ("we," "us," or "our").

2. Data We Collect

2.1 Questionnaire Data (free calculator)

When you use the free calculator, you enter personal information including:

  • Tax year of assessment
  • Previous UK residence status
  • UK presence periods (dates, day visits)
  • Home ownership and occupation
  • Family relationships
  • Work patterns and locations
  • Overseas travel history

✓ Free calculator questionnaire data is stored locally in your browser using localStorage only. It is never transmitted to our servers or any third party. (The Residence Tracker works differently - see section 2.4.)

2.2 Analytics Data

We use Vercel Analytics, a privacy-focused analytics service provided by our hosting platform. Vercel Analytics collects:

  • Page views (which pages you visit, but not your questionnaire answers)
  • Referrer source (which website you came from, if applicable)
  • Device type and browser (aggregated, non-identifying technical data)
  • Web Vitals performance metrics (page load times, etc.)

✓ Vercel Analytics does not track you across websites and does not collect personal data. All data is aggregated and anonymised.

We also use PostHog for product analytics. PostHog collects anonymous usage events - for example, when a result is calculated or a purchase is started. These events may include anonymous, non-identifying characteristics of your result (such as your residence outcome, the number and types of UK ties, your work and home status, and the tax year), but never your name, email, specific travel dates, financial figures, or any free text. Data is stored on PostHog's EU-region servers. PostHog does not use cookies on this site. For more information, see PostHog's Privacy Policy.

2.3 Account Data

If you create an account to access premium features, we collect and store:

  • Email address: Used for sign-in (email code or link) and account identification.
  • Google sign-in details: If you sign in with Google, we also store your name and profile picture URL as provided by Google. We never see your Google password.
  • Session tokens: Stored in an HTTP-only cookie to keep you signed in.

This data is stored in a secure Postgres database hosted by Neon in London, UK (via Vercel).

2.4 Residence Tracker Data

The Residence Tracker is a paid feature that continuously tracks your days for you. Unlike the free calculator, tracker data is stored on our servers - that is the service: your records stay safe, in one place, available on any device. If you use the tracker, we collect and store:

  • Travel history: The arrivals you log - country, dates, overnight-travel and transit flags, and any notes you add.
  • Day records: Per-day flags you set, such as UK work days and exceptional-circumstances days, with any notes.
  • Profile answers: Your per-tax-year settings - ties, previous residence, work and home answers, home country, and day-count thresholds.
  • Evidence log: Details you record about your supporting documents (date, type, label) so you have an index of what proves which dates. We do not upload or store the documents themselves - you keep those.
  • Alert preferences: Your email alert settings.

Tracker records are stored in our Neon Postgres database in London, UK, encrypted at rest by the storage provider and transmitted over HTTPS. The evidence log holds only the details you type; we do not upload or store your documents.

Email alerts (if you enable them) contain day counts only - never your day-by-day travel detail.

2.5 Payment Data

Subscription payments are processed by Stripe. We do not collect or store your payment card details. Stripe processes your payment information in accordance with PCI DSS standards.

We store only:

  • Your Stripe customer ID (a reference number, not card details)
  • Subscription status (active, cancelled, etc.)
  • Subscription period dates

2.6 Data We Do NOT Collect

We do not collect or store:

  • Your free-calculator questionnaire answers (stored locally in your browser only)
  • Your payment card details (handled by Stripe)
  • Your IP address (anonymised by our analytics provider)
  • Any data beyond what is listed above

3. How We Use Data

We use the data described above to:

  • Questionnaire data (free calculator): Calculate your SRT determination locally in your browser. This data never leaves your device.
  • Residence Tracker data: Provide the tracking service - compute your day counts, warnings, alerts, and exports. We do not use your tracker data for anything else, and no human looks at it except where needed to resolve a support request you raise.
  • Analytics data: Understand how users interact with the Tool, identify technical issues, and improve the user experience.

We do not use your data for marketing, advertising, or any purpose other than providing and improving the Tool.

4. Legal Basis for Processing

Under UK GDPR, our legal basis for processing data is:

  • Questionnaire data (free calculator): Not applicable - this data is processed entirely in your browser and never leaves your device. We do not process this data.
  • Account, tracker, and payment data: Contract performance (Article 6(1)(b)) - processing your email address, subscription data, and Residence Tracker records is necessary to provide the service you have signed up for. Storing your travel records and evidence securely is the tracker service.
  • Analytics data: Legitimate interests (Article 6(1)(f)) - we have a legitimate interest in understanding how the Tool is used to improve functionality and user experience. The data collected is minimal, anonymised, and does not identify you.

5. Data Sharing

We do not sell, rent, or share your personal data with third parties, except as follows:

  • Stripe: Your email address is shared with Stripe when you subscribe, to create a customer record for payment processing. See Stripe's Privacy Policy.
  • Resend: Your email address is shared with Resend to deliver sign-in emails and tracker alert emails. See Resend's Privacy Policy.
  • Vercel Analytics: Anonymised, aggregated analytics data is processed by Vercel as part of our hosting service. See their Analytics Privacy Policy.
  • PostHog: Anonymous product usage events are processed by PostHog (EU region). No personal data is included. See PostHog's Privacy Policy.
  • Legal obligations: We may disclose data if required by law, court order, or regulatory authority.

Our hosting and storage providers - Vercel (hosting) and Neon (database) - process data on our behalf as processors under data processing agreements. They do not use your data for their own purposes.

Your free-calculator questionnaire answers - the dates, day counts, and personal circumstances you enter there - never leave your browser. Residence Tracker data is stored on our servers to provide the service, but is never sold, shared for marketing, or disclosed to anyone except the processors listed above. Analytics receive only the anonymous, non-identifying characteristics described in section 2.2, never your travel detail or identity.

6. Data Retention

  • Questionnaire data: Stored in your browser's localStorage until you clear your browser data or delete it via the Tool's interface. We have no control over this data and cannot delete it on your behalf.
  • Account data: Your email address and subscription records are retained for the duration of your account. If you cancel your subscription and request account deletion, we will delete your account data within 30 days.
  • Residence Tracker data: Retained while your account is active, because a multi-year history is the point of the service (HMRC rules look back up to 3 years, and enquiry windows are longer). You can delete individual arrivals, day flags, and evidence items in the app at any time. If you request account deletion, all tracker records are deleted within 30 days.
  • Analytics data: Retained by Vercel in aggregated form as part of our hosting service. See Vercel's Analytics Privacy Policy.

7. Your Rights

Under UK GDPR, you have the right to:

  • Access: Request a copy of the data we hold about you. For the free calculator we hold none - your questionnaire data lives in your browser. For accounts and the Residence Tracker, you can export your data from the app or email us.
  • Rectification: Request corrections to any inaccurate data. Tracker records can be edited directly in the app.
  • Erasure: Request deletion of your data. Free calculator: clear your browser's localStorage. Tracker: delete individual records in the app, or email us for full account deletion (completed within 30 days).
  • Object: Object to processing based on legitimate interests. You can block analytics by using a browser extension or disabling JavaScript.
  • Portability: Request your data in a portable format. Tracker users can download per-year exports (PDF, CSV, and an evidence index) and a complete account export from the app.

8. Data Security

Questionnaire data: Stored locally in your browser's localStorage. The security of this data depends on your device's security (passcode, encryption, etc.). We recommend:

  • Using a secure device with up-to-date software
  • Not using the Tool on shared or public computers
  • Clearing your browser data after use if on a shared device

Account and Residence Tracker data: Transmitted over HTTPS and stored in UK (London) data centres - Neon Postgres for records - encrypted at rest by the provider. Every tracker request is authenticated and scoped to your account.

Analytics data: Transmitted over HTTPS and processed securely by Vercel.

9. Children's Privacy

This Tool is not intended for use by individuals under the age of 18. We do not knowingly collect data from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page indicates when the policy was last revised. Your continued use of the Tool after changes are posted constitutes your acceptance of the updated policy.
